Confidentiality

All information shared with Callum Kane Art Therapy is treated with the utmost confidentiality and respect. The information you provide will be used solely to support your participation in art psychotherapy.

At the start of therapy, we will discuss your current circumstances and what brings you to therapy, to ensure that art psychotherapy is an appropriate and supportive option for you at this time. If it appears that another type of support would be more suitable, I will discuss this with you and help signpost you to alternative services where possible.

Confidentiality may be broken only in the following situations:

  • There is a risk of serious harm to yourself or others

  • There is a risk of a serious crime being committed

  • Information is requested by a court of law

As part of ethical practice, I discuss my work in regular clinical supervision. All identifying details are withheld, and supervisors are bound by the same duty of confidentiality.

Emergency Contact

In the event of an emergency, I may need to contact your nominated next of kin or GP. These details are collected at the beginning of therapy for your safety.

If you choose not to provide emergency contact or GP details, I may not be able to proceed with therapy, as it is considered unsafe and unethical to work without this information.

Cancellations

If you need to cancel or reschedule a session, please provide at least 48 hours’ notice.

  • Cancellations made with less than 48 hours’ notice, or missed sessions without prior notice (DNAs), will be charged at the full session rate.

  • If I need to cancel a session, I will always aim to give you at least 48 hours’ notice wherever possible.

  • If there are two consecutive DNAs, or if there is continued rescheduling or frequent cancellations, your case may be closed.

  • Keeping sessions open without regular attendance prevents others on the waiting list, who may need support, from accessing therapy.

This policy helps maintain consistency in the therapeutic process and ensures fair access to support for all clients.

Data Protection & Privacy

Your personal information is collected to allow me to contact you, arrange sessions, and provide a safe and professional therapeutic service.

All data is securely stored and handled in compliance with UK GDPR and the Data Protection Act (2018).

  • Paper records are kept in a locked filing cabinet.

  • Digital records (e.g. notes, emails) are password-protected and encrypted.

  • Your data will never be shared with third parties without your consent, unless required by law or for safeguarding purposes.

If you decide not to proceed with therapy, I will securely delete your information after a short period.

Data Sharing

With your consent, I may contact your GP or other relevant professionals involved in your care if it is necessary for your wellbeing, safety, or continuity of support. Any shared information will be minimal, relevant, and always GDPR compliant.
